Calendly

Let your AI agent check your Calendly availability and help customers book meetings in the conversation.

The Calendly integration lets your AI agent look up your real, live Calendly availability and offer customers concrete times — each with a link that opens your Calendly page with that time already selected. On Calendly Standard or higher it can also book the meeting for the customer right in the chat.

It has two parts, managed in different places:

  • The connection — your Calendly account, connected once per workspace at app.asks.app/integrations/calendly. Connecting turns nothing on by itself.
  • Calendly actions — what the AI agent may offer, at app.asks.app/ai-agent/actions. Each action is one Calendly event type with its own instructions, booking mode and channels.

Availability — the Calendly integration is rolling out and may not be enabled for your workspace yet. It appears under Integrations as soon as it's available.

Connect Calendly

Start from Integrations

Go to Integrations → Calendly and click Connect Calendly. Only workspace owners and admins can connect. You're sent to Calendly to approve access.

Approve on Calendly

Sign in to the Calendly account whose availability the AI agent should read, and approve. You're brought back to Asks and the page shows the connected account, its booking page and timezone.

Add a Calendly action

Click Set up an action (or AI Agent → Actions → Add Calendly action) and configure it as described below.

Configure an action

Action namestringrequired
What the action is called in your dashboard. The tool name the AI sees is derived from it.
Event typeCalendly event typerequired
One active event type from the connected account. Add one action per event type you want the agent to offer.
When to usestringrequired
Tells the agent when to offer this meeting. A sensible default is filled in; Reset restores it.
Bookingshare links | book in chat
Share booking links (every Calendly plan): the agent suggests open times and each one opens your Calendly page with that time selected — the customer confirms there. Book in the chat (Calendly Standard or higher): once the customer picks a time and gives their name and email, the agent books it and Calendly emails the invitation. If Calendly can't book through the API, the agent shares that time's booking link instead.
12-hour time formaton | off
Write times as 1:00 PM instead of 13:00.
Channelsall | selected
Limit the action to specific channels. Off means every channel — website widget, WhatsApp, Instagram, Messenger, email and the rest; on messaging channels the agent shares times as text and links.

New actions start disabled. Click Save & enable, or turn the action on later from the Actions page. Preview availability in the editor shows the next 7 days exactly as the agent reads them.

What the agent does

  • Reads availability live from Calendly for the dates the customer asks about (up to 31 days at a time) and never invents times.
  • Suggests a few concrete options spread across the day, states the timezone, and links each one to Calendly.
  • In Share booking links mode it never claims a meeting is booked — the customer finishes on Calendly.
  • In Book in the chat mode it re-checks the exact time right before booking, books once per conversation and time, and returns Calendly's reschedule and cancel links. Meetings whose location or required questions need details only Calendly's page can collect are sent to Calendly instead.

In the Playground, availability is real but bookings are simulated — nothing is sent to Calendly.

Disconnecting and reconnecting

Disconnect revokes Asks' access to your Calendly account. Your Calendly actions are kept but stop answering until you reconnect, and the agent stops offering Calendly times.

If Calendly stops accepting the connection (access revoked or expired), the integration shows Needs reconnect. Until you reconnect, the agent shares your Calendly booking page instead of live times. Reconnecting the same account restores everything; connecting a different account flags each action so you can check its event type.

Activity

Each action's Recent calls shows its last 20 Calendly calls — availability lookups and bookings — with status and timing. Customer names and emails are never logged.
